Custom Property Management Portal for a Regional Landlord Group

Overview

Designed and built a centralized web portal for a landlord group managing residential units across multiple properties, replacing a patchwork of spreadsheets and email threads. The system tracks lease terms, rent collection status, maintenance requests, and vendor assignments in one place, with role-based access so property managers and owners see only what's relevant to them. We integrated the portal with the client's existing accounting software so rent payments and expenses reconcile automatically instead of being re-entered by hand. The build prioritized a clean, low-friction interface since the team managing it day-to-day had no technical background. The landlord group was managing leases, rent status, maintenance requests, and vendor assignments across a patchwork of spreadsheets and email threads. Nothing was centralized, so property managers and owners often worked from different, out-of-sync versions of the same information. We designed a centralized web portal with role-based access so managers and owners each see only what's relevant to them, and integrated it with the client's existing accounting software so payments and expenses reconcile automatically. We spent the first two weeks mapping every field across the client's spreadsheets and email-based workflow before designing the data model. The portal was built and rolled out property-by-property, starting with one building as a pilot, with the accounting integration validated against a full reconciliation cycle before going live everywhere. Rent, maintenance, and vendor records now live in one place instead of four. Reconciliation that used to take days each month now takes a fraction of the time, and owners get real-time visibility without calling the office.
