Built a custom booking backend for a destination wedding planning company that coordinates venues, accommodations, transport, and multiple local vendors for every event, a level of coordination no off-the-shelf travel booking tool was designed to handle. The system tracks every vendor booking, deposit, and confirmation status tied to a specific wedding date in one place, automatically flagging any vendor booking that's still unconfirmed as the event date approaches. Planners previously tracked this across a mix of vendor emails and a master spreadsheet per event, which became error-prone once the company was running several weddings at once. The system generates a consolidated vendor confirmation checklist for planners to review before every event. We reviewed several past events' vendor-coordination spreadsheets to understand exactly which confirmations tended to slip through, then built flagging logic targeting those specific gaps. The system launched on new bookings first, running in parallel with existing spreadsheets during a busy multi-wedding season, before fully replacing them. The vendor-confirmation gaps that had previously caused last-minute scrambles before wedding weekends are eliminated, even while the company runs multiple simultaneous events.
