Custom Invoicing & Payment Integration System for a Commercial Cleaning Contractor

Overview

Built a custom invoicing system for a commercial cleaning contractor that automatically generates and sends invoices based on completed jobs logged in the field, then tracks payment status against each client's terms. The system integrates directly with the contractor's payment processor so clients can pay online with one click instead of mailing checks, which had been slowing down cash flow. Overdue invoices trigger automatic, appropriately-worded reminder emails instead of the office manager tracking down late payments by hand. We built the system around the contractor's existing job-tracking process rather than asking them to change how crews log completed work. We mapped the contractor's existing job-completion logging process first so invoicing could trigger automatically from data already being captured, rather than asking crews to log anything extra. The reminder email wording was refined with the office manager's input before automated reminders went live. Average time-to-payment shortened by an estimated two weeks as manual invoicing delays disappeared and online payment became the default option for clients.
