Automated Appointment Reminder & Recall System for a Multi-Provider Dental Group

Overview

Built an automated reminder and recall system for a multi-provider dental group that was losing revenue to missed appointments and forgotten six-month cleanings. The system sends tiered SMS and email reminders ahead of each appointment and automatically reaches out to patients who are overdue for a recall visit based on their last visit date. Reminder timing and messaging were tuned per provider based on that provider's historical no-show patterns rather than using one blanket schedule for the whole practice. The system integrates directly with the group's existing scheduling software rather than requiring staff to maintain a separate list. A multi-provider dental group was losing revenue to missed appointments and patients who quietly fell off their six-month cleaning schedule, with no consistent system tracking either. We built an automated reminder and recall system sending tiered SMS and email reminders ahead of appointments and reaching out automatically to overdue recall patients, with timing tuned per provider based on that provider's own historical no-show patterns. We analyzed each provider's historical no-show data first to set reminder timing individually rather than applying one schedule practice-wide. The recall logic was tested against a batch of known-lapsed patients before going live, then the full system rolled out across all providers over a two-week period. Missed appointments dropped by an estimated 35%, and a meaningful share of previously lapsed recall patients were re-booked within the first quarter — recovering revenue the practice had been losing without realizing the scale of it.
